This policy explains how The SENT Company (“we”, “us”) collects, uses and protects personal information, and the choices you have. It covers this website, people who contact us or book a call, our clients, and the business contacts we reach out to on our clients’ behalf.
Who we are
The SENT Company is a Canadian business that runs cold email outreach and paid advertising for other businesses. Our Privacy Officer is Samuel, our founder, who is responsible for how we handle personal information. You can reach him at [email protected].
What we collect
- When you book a call: your name, work email, phone number if you give one, company website, and your answers about your business.
- When you contact us: your name, email address, the topic you choose and your message.
- When you message us on WhatsApp or by email: what you choose to send, along with your phone number or email address.
- When you visit the website: our hosting and content delivery providers automatically log technical information, such as your IP address, browser type and the pages requested, to deliver the site and keep it secure. We don’t use analytics, advertising or tracking cookies. See our cookie policy.
- Our clients: contact and billing details, and the information you share with us to run your campaigns, including access to ad accounts and information about your leads and customers.
- Business contacts we reach out to: work-related information such as your name, job title, company, work email address and public professional profile. We get this from publicly available business sources, from business data providers, and from our clients.
How we use it
- To reply to you, prepare for and hold calls, and send you the information you ask for.
- To provide our services to clients, including running outreach and advertising campaigns on their behalf.
- To contact business people about products and services relevant to their role, on behalf of our clients or ourselves, in line with our outreach policy.
- To keep business records, meet our legal, tax and accounting obligations, and protect our rights.
- To keep the website secure and working properly.
We don’t sell personal information, and we don’t add people who contact us or book a call to marketing mailing lists.
Consent and legal bases
When you submit a form or message us, you consent to us using your information for the purposes above. You can withdraw your consent at any time, subject to legal or contractual limits, by emailing our Privacy Officer.
If you are in the European Union or the United Kingdom, we rely on these legal bases: your consent; the steps needed to enter into or perform a contract with you; our legitimate interests, such as contacting businesses about relevant services, where those interests are not outweighed by your rights; and our legal obligations. You can object to processing based on legitimate interests at any time.
Who we share it with
- Service providers who help us run the business, such as website hosting and delivery, email sending and inbox providers, business data providers, customer relationship, scheduling and form tools, and video hosting. They receive only what they need and must protect it.
- Our clients. When we contact you on a client’s behalf and you reply with interest, we pass your reply and contact details to that client so they can follow up.
- Professional advisers and authorities, where required by law or to protect our legal rights.
- A buyer or successor, if our business is sold or reorganised, under the same protections described here.
Where your information is stored
Some of our service providers store information outside your province or country, including in the United States. While it is stored there, it may be accessible to courts and authorities under local law. We choose providers that protect personal information appropriately.
How long we keep it
- Enquiries and call bookings: up to 24 months after our last contact, unless you become a client.
- Client records: for the length of our work together, then as long as the law requires, generally six years for financial records.
- Outreach contact information: for the length of the campaign and up to 12 months after it ends.
- Opt-out records: the minimum needed, usually your email address and the date, for as long as necessary to make sure you aren’t contacted again.
How we protect it
We use reasonable safeguards for the sensitivity of the information, including limiting access to people who need it, two-factor authentication on our accounts and encrypted connections. If a breach creates a real risk of significant harm to you, we will notify you and the relevant regulator as the law requires. Our data protection policy has more detail.
Your rights
You can ask to see the personal information we hold about you, ask where we got it, correct it, delete it, or withdraw your consent. If you are in the EU or UK, you can also ask us to restrict processing or provide your data in a portable format. Email our Privacy Officer and we will respond within 30 days.
If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner of Canada, to your provincial privacy regulator, or to your local data protection authority.
Stopping our outreach
If we have emailed you and you don’t want to hear from us again, reply “unsubscribe” or email [email protected]. We will stop promptly, and in any case within 10 business days.
